Leadership

Field operations

  • Owns crew scheduling and job-site logistics
  • Documents and prices scope changes on-site, using a standard change-order process
  • Owns quality control and job-site safety
  • Feeds actual job cost data back to estimating after each job
  • Flags jobs that ran over estimate, and why, while it's still fresh

Office & administration

  • Owns invoicing — issued promptly, followed up consistently until paid
  • Manages the Google Business Profile, review requests, and basic marketing upkeep
  • Handles routine customer questions and scheduling changes
  • Maintains the lead and job pipeline so nothing depends on memory
  • Usually the first role worth separating from the owner — high volume, lower risk to delegate

How to use this template

Start by mapping which of these four functions you currently own personally, and how many of them overlap with each other on your calendar in a typical week. The function with the most volume and the lowest actual risk to delegate — usually office and administration — is the natural first hire or first formal handoff, even before field or estimating roles change hands.
